VIB-KU Leuven Center for Cancer Biology (CCB) is one of the research centers of the Flemish Institute for Biotechnology (VIB) located at KU Leuven (Gasthuisberg Campus). Today, 14 research groups are active within the CCB, employing a total of around 250 employees.

The lab of Angiogenesis and Vascular Metabolism consists of about 40 employees, the majority of whom are young top-level scientists. We are looking for a driven and enthusiastic Personal Assistant to provide administrative and organizational support to Professor Carmeliet, who is head of the research group.

Description

You will provide administrative support to the Professor and his team, taking a key position within the daily operation of the lab. To achieve this, you will take on a wide range of administrative tasks, including:

  • Flawlessly organize appointments (agenda management), events, seminars and lab meetings
  • Providing administrative support in preparing laboratory/departmental documents, grant applications, reporting of research projects and application procedures
  • Order processing for the lab, expense reports processing and visa transactions
  • Management of the laboratory's website and databases
  • Onboarding and offboarding of new colleagues
  • Reception of visitors and the organization of the program and the logistics
  • Organizing travel/business trips: transport, accommodation, full logistical support
  • Monitoring closely the budget collaboration with the staff scientist

Profile

  • Excellent English speaking and writing skills. Knowledge of Dutch is a great added value
  • Professional bachelor (or equivalent experience) with a strong administrative, driven and eager to learn focus
  • Minimum 2 - 4 years of experience in a personal assistant role or similar
  • You are praised for your accuracy, proactivity, flexibility and customer focus
  • You are a multi-tasker, problem solver and you like to work independently & efficiently in a structural manner
  • You are stress-resistant, diplomatic and discreet
  • You have a proficient knowledge of MS Office (mainly Excel) or are eager to learn
  • You have an interest in the scientific and academic world, experience within an academic setting is a big plus
